Help with the staff app
Step-by-step guides for everything in the Porchlight staff app — your rota, clocking in, holiday, swaps and more. Type what you’re looking for, or pick a topic below.
For everyone with their own Porchlight login. Managers can do all of this too — their extra tools are on the Managers tab.
Getting started
StaffSetting up your account
- Your manager adds you to Porchlight. You’ll get an email from Porchlight (notifications@porchlightpro.com) — check your junk folder if it’s not in your inbox.
- Tap the link in the email. It works for 24 hours.
- Choose a password (at least 8 characters), type it twice and tap Set new password.
- On a phone, Porchlight then shows you how to get the app (see Getting the app on your phone).
- Log in with your email address and your new password.
StaffGetting the app on your phone
Android: tap Get it on Google Play on the welcome screen (or search Google Play for Porchlight Staff), install it, open it and log in.
iPhone: an iPhone app is coming soon. Until then, add Porchlight to your home screen — it works just like an app:
- Open the app in Safari.
- Tap the Share button (the square with an arrow pointing up) at the bottom of the screen.
- Scroll down and tap Add to Home Screen, then Add.
- Open Porchlight from your home screen and log in.
Missed the welcome screen? Tap Get the app on your phone at the very bottom of the app.
The first time you open the app, a short tour shows you round. Want to see it again? Tap ▶ Replay the app tour at the bottom of the app.
StaffLogging in, forgotten passwords and expired links
Forgot your password, or your link has run out? You don’t need to ask your manager:
- On the log-in screen, tap Forgot password? (if you tap an old link, the app takes you here by itself).
- Type your email address and tap Send reset link.
- A fresh link arrives within a minute — check your junk folder too. Tap it and choose a new password.
“Incorrect email or password” — check the email is the one your manager used for you. You can request up to 3 links an hour.
Logging out: tap the log-out icon (a box with an arrow pointing out) at the top right.
StaffYour home screen
The Rota page opens with a card showing:
- Next shift — your next day and times. “Draft, not published yet” means your manager is still working on that week.
- This week — hours worked so far, hours on the rota, and roughly what you’ve earned before tax.
- Holiday — hours left or built up (see Holiday).
- Clock in (if your venue uses phone clock-in), Add to my calendar, Open shifts & swaps and your Updates.
Your rota and shifts
StaffSeeing the rota
- Use the ‹ › arrows to move between weeks.
- Filter with All, Front of House or Kitchen.
- Each shift shows the person’s first name across the hours they’re working. Colours show the team (key at the bottom).
- ↓ Print rota (PDF) downloads the week on screen.
You’ll get an email (and a notification, if they’re on) when your manager publishes a week.
StaffSetting the hours you can work
Below the rota is Which hours can you work? — days down the side, hours along the top. Your manager sees it when building the rota.
- Tap an hour to switch it on (lit) or off, or drag along a day to do several at once.
- Tap Done to save. You’ll see “Availability saved”.
This is your usual week, not one particular week. For a specific day off, request time off instead.
StaffPicking up extra shifts
- On the Rota page tap Open shifts & swaps (the number on it shows what’s waiting).
- Under open shifts, tap I’ll take it on one you want.
- It shows “Asked — waiting for a manager”. You’ll get an update when it’s confirmed and it appears on your rota.
You only see shifts for your own team (Front of House or Kitchen).
StaffSwapping a shift or putting it up for grabs
- Tap Open shifts & swaps on the Rota page.
- Under Offer one of your shifts to a colleague, choose the shift.
- Choose a colleague on your team, or Anyone — up for grabs to offer it to the whole team. Add a note if you like.
- Tap Offer swap.
When someone accepts, a manager confirms it and the rota updates itself. Until then, the shift is still yours — you can Cancel the offer while it’s waiting.
Offered a shift? Tap Accept or No thanks. For one that’s up for grabs, tap I’ll take it.
Clocking in and out
StaffSetting your clock-in PIN
Your PIN lets you clock in on the venue tablet — your back-up if your phone isn’t on the work wifi.
- Tap the key icon 🔑 at the top of the app.
- Type a 6-digit PIN twice and tap Save PIN.
Keep it to yourself, like a bank card PIN. “That PIN is already in use” means someone else has it — pick another. Forgotten it? Just set a new one the same way, or ask a manager.
StaffClocking in on your phone (work wifi)
- Connect your phone to the work wifi.
- Open Porchlight. On the Rota page, tap Clock in at the top of your card.
- When you finish, tap Clock out in the same place.
If the button is greyed out with “Connect to the work wifi to clock in here”, your phone isn’t on the venue’s wifi (mobile data doesn’t count) — connect, or use your PIN on the tablet.
StaffClocking in on the tablet (with your PIN)
- On the venue tablet, tap the person icon at the top.
- Type your 6-digit PIN.
- Check it’s your name, then tap I’m Here to clock in — or Goodbye to clock out.
“PIN not recognised” — try again carefully, or set a new PIN on your phone.
StaffI forgot to clock out
- On the Rota page tap My Timesheet (at the bottom).
- Find the shift and tap I forgot to clock out.
- Enter the time you left and a note if you like (e.g. “phone died”), then tap Send to manager.
A manager checks it and your hours update.
Holiday and pay
StaffRequesting holiday or time off
- On the Rota page, tap Holiday at the bottom.
- Tap Request time off.
- Choose Holiday or Other leave (training, college and so on).
- Pick the first and last day. Hours off fill in as 8 a day — change it to your usual shift length.
- Add a note if you like and tap Send request.
Your request shows as Pending until a manager approves or declines it — you’ll get an update either way. You can Cancel a pending request.
Your balance is at the top of the Holiday screen. Depending on your venue it’s a yearly allowance, hours that build up as you work, or holiday pay included in your wages. Who’s off shows the next 6 weeks.
StaffYour timesheet and pay summaries
On the Rota page, tap My Timesheet at the bottom. You’ll see each shift’s rota time, clocked time and paid hours, and whether it’s approved.
Pay summaries appear once a manager approves your week — tap Download PDF. They show hours × rate before tax. They’re a guide, not your official payslip (that still comes from your employer or their accountant).
Staying in the loop
StaffNotifications and Updates
Updates on your Rota page list rota news, swaps, holiday decisions and more. Tap one to go straight to it.
To get them on your phone too, tap Turn on notifications under Updates and allow it when your phone asks.
- iPhone: add Porchlight to your home screen first (see Getting the app) — iPhones only allow notifications from home-screen apps.
- Turned them down by mistake? Switch them back on in your phone’s settings for Porchlight.
StaffAdding your shifts to your phone’s calendar
On the Rota page tap Add to my calendar. Your published shifts and approved holiday then appear in your calendar and update by themselves.
iPhone: tap Add to iPhone / Mac calendar, then Subscribe.
Android / Google Calendar: tap Copy link. On a computer, open Google Calendar → Other calendars + → From URL, paste the link and tap Add calendar. It then shows on your phone too.
Calendars check for changes every so often (iPhone usually within the hour, Google up to a day), so a last-minute change shows in the app first. Lost your phone? Tap Make a new link — the old one stops working.
StaffSending feedback or reporting a problem
Tap the speech bubble at the top of the app (or Send feedback or report a problem at the bottom). Choose Idea, Problem or Other, write what’s on your mind and tap Send. It goes straight to the Porchlight team.
Reporting a problem? Say what you tapped and what happened — it helps us fix it faster.
Looking for help instead? Tap ? Help and user guide at the bottom of the app (staff logins also have a ? at the top) to come back to this page.
Quick answers
StaffWhy can I only see the Rota?
Staff logins show your rota, shifts, holiday and timesheet. Bookings, the floor plan and the menu are on the venue tablet and managers’ logins.
StaffI’ve got a new phone
Get the app again (see Getting the app) and log in with your usual email and password. If you’d added your shifts to your calendar, tap Add to my calendar → Make a new link to stop the old phone getting them.
StaffMy hours or pay look wrong
Check My Timesheet for that week. If you forgot to clock out, use I forgot to clock out. Anything else, speak to your manager — they can correct times and pay rates.
For managers and the venue tablet. Managers can also do everything on the Staff tab.
Logins and set-up
ManagersThe three kinds of login
| Login | Sees |
|---|---|
| Venue tablet (shared) | Bookings, Floor plan, calls, clocking in with PINs. Never wages, timesheets or staff details — safe to leave on all day. |
| Manager (your own) | Everything on the tablet, plus Rota building, Staff, Holiday approvals and Timesheets (which ask for your password again). |
| Staff (their own) | Their rota, availability, shifts and swaps, holiday, own timesheet. No bookings, guest details or anyone else’s pay. |
Use your own manager login for anything to do with staff or pay, not the tablet.
ManagersAdding staff and sending login emails
- Go to the Staff tab and tap the round + button.
- Fill in Full name, Email, Mobile number (optional), Role (Manager, Front of House or Kitchen) and Pay rate (£/hr).
- Optional: tap + Payroll and holiday details for payroll number, contract, start date, date of birth and holiday method.
- Tap Save. Their login email goes out automatically.
Resending: tap their name → Resend login email. Staff can also get a fresh link themselves with Forgot password?.
Leavers: tap their name → Edit → untick Active → Save. They can’t log in, but their hours and holiday records are kept.
ManagersPay & holiday settings — every box explained
Staff tab → Pay & holiday settings. These apply to everyone at the venue (holiday method can be changed per person on their record).
| Setting | What it does |
|---|---|
| Staff are paid… | Weekly, fortnightly, every 4 weeks or monthly. |
| The pay week starts on… | The first day of each timesheet week. |
| Clock in up to N minutes early | Arriving early doesn’t add pay — pay starts at the rota time. |
| Clock in up to N minutes late | A few minutes late still pays from the rota time. Later than that shows red on timesheets. |
| Round paid time | To the nearest minute, 5, 10, 15 or 30 minutes. |
| Unpaid break | Minutes taken off shifts longer than the hours you set. Set to 0 if breaks are paid. |
| Holiday method | Builds up as they work (12.07% of hours), rolled-up holiday pay, or a fixed yearly allowance. |
| Holiday year starts | January, April, or each person’s start date. |
| Bank holidays | Tick if bank holidays come out of the allowance. |
| Notice needed | How many days’ notice a holiday request needs. |
| Carry over | Hours that can roll into next holiday year. |
| People off on the same day | The most people allowed off at once. Leave empty for no limit. |
| Clocking in | Turns on phone clock-in over the venue wifi (see below). |
| Accountant | Name, email and payroll software, and whether approved weeks are sent automatically. |
Tap Save — “Settings saved”.
ManagersSwitching on phone clock-in (venue wifi)
- Make sure the venue tablet is logged in and on the venue’s wifi — it tells Porchlight your wifi’s address and keeps it up to date.
- On your manager login, go to Staff → Pay & holiday settings.
- Under Clocking in, tick Staff can clock in from their own phone when they’re on the pub wifi.
- Tap Save.
Staff now see Clock in at the top of their Rota page, but only while their phone is on the venue wifi. The tablet PIN pad keeps working as the back-up.
ManagersSetting a PIN for someone
Staff tab → Set PIN next to their name (or Reset PIN on their row in Timesheets). Type it in, or hand them the tablet to type their own.
The rota
ManagersBuilding the rota
- Go to Rota and pick the week with the ‹ › arrows.
- Make sure Add is selected above the grid.
- Tap or drag across the hours on a day — e.g. drag 12 to 17 on Saturday.
- A list of staff opens. Each person shows their usual hours that day, how many hours they already have this week, and any of:
- Not usual — outside the hours they said they can work.
- On approved leave / Asked for this day off.
- Tick one or more people and tap Add to shift.
Taking a shift off: switch to Remove, tap the shift and confirm.
Use All / Front of House / Kitchen to filter both the grid and the list of people.
ManagersCopying and publishing the week
Copy to next week copies every shift forward 7 days. If next week already has shifts you can Add alongside or Overwrite.
Publish week emails everyone on the rota their shifts, sends a notification, and locks those hours in their availability. You can publish again after changes — staff are told it’s been updated.
ManagersWages, covers and rota checks
Above the grid you’ll see planned wages and hours for the week and covers booked so far. Each day shows its own wages and covers.
Things to check on this rota lists warnings: under-18s working too late or too long, less than 11 hours between shifts, shifts outside someone’s availability or on their holiday, and pay below minimum wage for their age. They’re reminders — the rota still saves and publishes.
ManagersOpen shifts and approving swaps
Rota → Open shifts & swaps.
- Post a shift: fill in date, start, finish, team and an optional note, then Post shift. Only that team is told.
- When someone asks for it: Give to … (it goes on the rota) or Decline (it opens again).
- Swaps agreed between staff wait for you: Approve updates the rota, Refuse leaves it as it was.
Holiday
ManagersApproving holiday, blocking dates and adjusting balances
Rota → Holiday.
- Requests to approve: Approve (you can change the hours and add a note) or Decline with a reason they’ll see.
- Who’s off shows the next 6 weeks, including pending requests.
- Block holiday (e.g. Christmas): choose the dates and a reason, then Block these dates.
- Everyone’s holiday: tap Adjust to add or remove hours (use a minus number to take off), with a reason.
- Booking holiday for someone: Request time off → choose them under For.
Timesheets and pay
ManagersChecking and approving timesheets
- Rota → Timesheets and enter your password (it protects pay information).
- Tap a name to see their week. Each shift compares rota time with clocked time:
- Green — on time.
- Amber — extra hours. Tap Approve if they’re agreed.
- Red — short or no-show. Choose Pay as scheduled (pay the rota hours), Disallow (pay what they actually clocked) or Amend (fix a wrong clock time).
- Approve all green clears the easy ones in one tap, leaving amber and red for you.
- Missed clock-outs to check: Approve, Change time or Decline.
- When the week has finished, tap Approve week to lock it. After that, any change asks for a reason and is recorded.
Pay summaries are made when you tap Approve on a person’s row, and for everyone when you lock the week with Approve week.
ManagersSending hours to your accountant
On a locked week in Timesheets you’ll see the accountant pack:
- Send to accountant emails a summary and a spreadsheet (CSV) to the address in Pay & holiday settings.
- Download CSV or PDF summary to keep a copy yourself.
It lists paid hours, rates, holiday and any starters, leavers or changes since the last send. Add a payroll number to each person so the accountant can match them.
Bookings and the floor plan
ManagersAdding and changing bookings
- On the Bookings tab, tap the round +.
- Fill in name, phone, date, time and party size. Tick Dog, Wheelchair or Highchair if needed, and add dietary needs or notes.
- For bookings from Facebook messages or email, tick Online enquiry — no phone number needed.
- Tap the Table button to pick a table (optional), then Save.
If it’s outside normal hours or the venue looks full, the app asks before adding it anyway. Each card has ✓ (seated), ✎ (edit) and × (cancel). Tap a card for details and its change history.
ManagersWalk-ins, no-shows and freeing tables
Walk-in: Bookings tab → + Walk-in (today only) → tap the number of guests (tick Dog first if they have one) → Seat here on the suggested table, or pick another free table.
No-show: tap the booking → No-show. The table is freed and covers stay accurate. Undo no-show if they turn up.
Guests left early: tap the booking → Guests left — free the table.
ManagersUsing the floor plan
- Time slider: shows who’s seated at that time. Now jumps back to the current time.
- Seating: tap a booking in Waiting to seat, then tap a table — or drag it onto the table.
- Big parties: you’ll be asked how many to seat at each table. One extra chair is allowed; the rest wait for the next table.
- Press and hold a booking or seated table for details and to change how long they’ll stay (2 hours for up to 5, 2½ hours for 6 or more).
- Tables: tap a table to show its controls — drag :: to move, ↻ to rotate, × to remove. + Add table is at the bottom of the waiting list.
- Zoom with −, + and ⛶ (fit), or pinch.
ManagersCallbacks and the call banner
When Thomas takes a message that needs a call back (a large party, or someone who needs a person), a banner appears across the top.
- Tap View details — the banner goes, but the callback stays open.
- Ring them back (tap the number).
- Type your name under Actioned by and tap Mark as done.
Open callbacks are always in the ☎ list at the top.
ManagersClosing the venue for a day or evening
- Bookings tab → Close the venue… (on your manager login).
- Tick All day, or choose from and until times.
- Add a short message for callers (optional) — the preview shows what Thomas will say.
- Tap Close the venue. If bookings already fall in that time, they’re listed and kept — contact them yourself if they need to move.
Thomas and the website turn bookings away for that time. To reopen, tap Remove next to the closure.
ManagersThe tablet: header buttons and screensaver
| Button | What it does |
|---|---|
| ‹ date › | Changes the day for Bookings and the Floor plan. |
| ↻ | Refreshes everything now (it also refreshes by itself). |
| 🔔 bell | New bookings for today that this device hasn’t seen yet. |
| ☎ | Calls needing attention. |
| Person icon | The clock-in PIN pad. |
| Speech bubble | Send feedback or report a problem. |
? Help and user guide at the bottom of the app opens this page.
After 3 minutes without a tap, a screensaver appears (with a booking QR code where set up). Any tap wakes it without pressing anything underneath, and a new callback wakes it by itself.

Quick answers
ManagersStaff can’t see the Clock in button
Check phone clock-in is switched on (see how) and that their phone is on the venue wifi, not mobile data. The tablet PIN pad always works as a back-up.
ManagersA new starter didn’t get their email
Ask them to check junk, and that the email address on their staff record is right. Then tap their name → Resend login email, or they can use Forgot password? themselves.
ManagersI need to change a week I’ve already approved
You can still approve, amend or change clock-outs — the app just asks for a short reason, which is kept with the change and shown to the accountant on the next send.
Nothing found for that. Try a simpler word — e.g. holiday, clock, PIN, swap — or get in touch below.
Something not working?
Tap the speech bubble at the top of the app to report a problem or send an idea — it comes straight to us with the details we need.
